ABOUT THE OPPORTUNITY:
We are looking for a highly motivated individual to support our Board Members and members of our Senior Leadership Team through confidential assistant services and administration across a broad range of business requirements including; Director diary management, travel co-ordination, corporate event planning, and creative content design for internal and external stakeholders presentations, videos and communication.
YOUR ROLE WILL INCLUDE:
Confidential support to Directors, The Board and some senior managers where appropriate
Diary management for CEO, CFO, People Director & The Board
Board Administration & coordination of Board Meetings, working with Co. Sec to ensure agenda, papers and minutes are published in line with Board rhythm
Organisation of the City Investor roadshows
Arranging meetings on behalf of Directors
Organise meetings and events for the Senior Leadership Team
Arrange corporate/charity events
Arrange travel for Directors, The Board and some Senior Managers where appropriate
Arrange Inductions for new People Team employees and Directors’ Big Hello sessions with new employees
Ensuring invoices are raised and paid in accordance with payment cycles
General administration duties including preparing reports and presentations, writing letters, scanning, binding etc.
Manage and organise the utilisation of Manchester United Hospitality Tickets
Charity request co-ordination
Occasional minute and action taking during meetings
Manage the info@nichols and info@vimto inboxes
Ownership alongside other EAs’ of stationary ordering for Head Office
YOU WILL HAVE EXPERIENCE IN:
Previous role undertaking Executive assistant duties at Board and Director level ensuring confidentiality and discretion is always maintained
Working across a broad range of activities, prioritising tasks, meeting deadlines all within a fast paced environment
Event project management
Designing presentations, videos and communication content
Minute taking, proofreading and editing abilities
Using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to an advanced level and competent with video editing software
Proven track record of working with stakeholders across multiple business areas, building effective relationships
YOU WILL ALSO HAVE‿
Strong problem-solving skills and the ability to anticipate needs and proactively address them
Highly effective communication skills – impact and influence at all levels of the business
A completer / finisher mentality and be highly organised
The ability to work independently with minimal supervision and as part of a team
